SUMMARY:

We are seeking a skilled and motivated person to join our dynamic team as a Coordinator, Industry Managed Programs. In this position you will contribute to the operations and management of assigned programs/special processes and products by providing administrative support services and coordinating activities for staff, customers, members, etc. This shall include acting as a primary communication focal point for the assigned group.

THE ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Coordinate activities between internal and external stakeholders by acting as primary focal point for assigned programs, such as: Issue certs, verify quality system submittals, respond to customer inquiries, track and report weekly audit data, coordinate and implement checklist approval/revision process.
  • Provide administrative support in a professional manner to assigned task groups such as: Schedule communications (WebEx, mass-emails, etc.), prepare for meetings (agendas, minutes,) and maintain rosters. Prepare presentations by compiling data and identifying deviations for reporting to task groups.
  • Provide administrative support to assigned Program Manager(s) and Staff Engineers.
  • Actively engage as part of the Support Services Team toward organizational/departmental goals.
  • Contribute to the overall budget cycle through regular maintenance of audit accreditation reports and annual compilation of projected reaccreditations.
  • Identify and implement process improvements.

EDUCATION/SPECIAL SKILLS/EXPERIENCE/TRAINING:

  • Associates Degree in Business or related field or 5 years' administrative experience.
  • Strong communication skills, oral and written, phone and e-mail.
  • Strong computer skills and ability to work with appropriate computer application programs.
  • Good administrative skills, including recordkeeping and attention to detail.
  • Ability to effectively manage multiple projects simultaneously.
  • Effective meeting planning skills.

PHYSICAL/MENTAL CHARACTERISTICS OF THE POSITION AND ENVIRONMENTAL FACTORS OF THE WORKPLACE:

  • Able to travel at least 10% of the time.
  • Ability to read/review documents.
  • Ability to work for long periods at a computer/desk.
  • Standard office environment.
